Spring 2020 Refunds & The "PWSC Cares" Program

Spring Season Summary

1. All programs for the Spring 2020 season have been cancelled by the Port Washington Soccer Club.

2. Trainers have been donating time and effort to provide Zoom virtual training for hundreds of players, since mid-March in many cases.

3. The PWSC is offering refunds (not just credits) for the cancelled season, but we are also giving parents the option to donate a portion of their refunds to the PWSC Cares program, which will be used for our trainers that are not collecting their usual training fees this season - see below for complete details.

The PWSC Spring Refund Plan and the "PWSC Cares" Program

As announced by the Board of Directors of the Port Washington Soccer Club, due to the continued suspension of the Spring 2020 season and related leagues and programs, the Board has determined that it will no longer be viable to offer any of the Spring 2020 programs in their intended form.  Therefore, to avoid delaying the inevitable, and to provide some clarity for our families and players, we are permanently cancelling all planned Spring 2020 programs, including league participation and intramural programs.  We are offering refunds (not just credits) as described below, and are also giving families the opportunity to donate their refund to the PWSC Cares program, which will be used to provide relief to our trainers during this lost season. 

Should the current crisis resolve in time to salvage any activities later this spring, or even over the summer, the club will present options to families at the appropriate time, which options will be separate and distinct from the traditional programs or anything that was intended to be provided during the Spring 2020 season.


Zoom Training Sessions

Despite the cancellation of our programs, the trainers will continue to provide virtual training sessions via Zoom for our Travel, Intertown and Intramural players.  This program was spearheaded by our club's Director of Coaching, Gerneil "Jigsy" Lorne, within days after we initially announced the suspension of activities in March.

To be 100% clear, neither Jigs nor the trainers participating in the Zoom training sessions are being paid for this service. They are donating their time and effort to support the club and ensure that kids stay active during this unprecedented event.  In addition, please understand that the online Zoom training was not intended to replace the outdoor training for the Spring 2020 season.  Again, it was provided free of charge to complement our players extended stay at home in order for them to stay healthy and physically active, and they plan to continue to provide this training through the spring season.   We often use the word "family" in describing the community within our club, but this past month has crystallized what that really means.


The "PWSC Cares" Program

For our travel, intertown and intramural players, several times each week during the season, there's a friendly and welcoming face at the field, whether it's for a practice or game.  While the Port Washington Soccer Club is run 100% by volunteers on the administrative side, we do pay for the services of professionally licensed trainers in ALL of our programs, on the notion that your children deserve a person who is both qualified/licensed to teach soccer, and also objective in their approach.  While we do have many parents managing teams and helping in so many ways, it's the professional trainers that truly elevate the experience for our players. 

Our trainers rely on the fees paid by the club to support their families as well, and like many in the world at the moment, are effectively out of work and struggling to make ends meet.  Therefore, before processing the refunds outlined below, we are asking the Port Washington Soccer Club family to help us take care of our family members that depend on the funds we collect from our registrations. As a nonprofit organization, with no paid administrators/employees, we are able to pass along 100% of any donated refunds to our training staff, to (1) make them as whole as possible for the lost Spring 2020 season and (2) keep them in the PWSC family, both now and into the future.

Thus, before we simply provide the refunds outlined below, we ask all club members to consider whether any or all of the refund they are otherwise entitled to can be donated to the club's PWSC Cares program and transferred to our training staff.  Since our club is a 501(c)(3) registered nonprofit organization, these donations may be tax-deductible, but please consult with your tax advisor.

By early May, we hope to be able to send each family the calculated amount of their refund, and each family will have the option to choose to either (i) receive a full refund, (ii) receive a partial refund or (iii) receive no refund, with 100% of all donated (declined) refunds going into the PWSC Cares program fund, which will be a pool to pay our trainers for the lost Spring 2020 season.

Please be on the lookout for those emails, which will be sent to the account email on file.

A few important clarifications...

1. No parent has ANY obligation to donate/decline any or all of the refund the club determines they are entitled to; we recognize that some families may be struggling, and need all possible funds returned.  Trainers will not be advised as to which parents on their teams have contributed to the PWSC Cares program fund, and there will be ABSOLUTELY no penalty or adverse action taken against families or players that elect to receive their refunds.  And, as evidenced by our above notes regarding Zoom training, trainers plan to continue training players for no additional fee, regardless of levels of participation in this program.  This program is 100% voluntary.

2. Before issuing refunds for specific invoices and registrations, families will be required to settle up any other outstanding or past-due invoices or registration fees owing to the club.  See below regarding accessing your SportsEngine account to determine if you still owe the club any amounts.  To review your club account in SportsEngine and to ensure that all outstanding registrations and invoices have been paid, please click here or sign in to our web site (top right), and once signed in, click on your picture or initials (round circle) and then "My SportsEngine".  On the left side of your dashboard, you can view both bills (invoices) and registrations.

3. Do not email us about your choice on whether to request a refund and/or donation to the PWSC Cares fund, please be patient and wait for an follow up email from the club, with specific refund amounts for your family and options to make your selections from that email.  Once those emails are sent, we plan to process the refund requests and fund the PWSC Cares program fund with donated refunds on a rolling basis, so that we can start to allocate funds to our trainers as quickly and efficiently as possible.  Note that our club's volunteers first need to verify amounts for each family, and then compile and transmit that information to SportsEngine, at which point SportsEngine will actually process the refunds.  So this may take some time - please be patient.  And please do not issue any chargebacks to your credit cards - that will create further complications/work for our volunteers, and is not appropriate under the circumstances.

4. DO NOT ATTEMPT TO COMPENSATE YOUR TEAM TRAINER OUTSIDE OF THE PWSC CARES PROGRAM FUND.  That will cause a breach of that trainer's arrangements with Jigs Soccer and/or the club, and is forbidden.  

5. The PWSC Board and our Director of Coaching will work to appropriately allocate the PWSC Cares program funds to all trainers that are involved in the applicable cancelled programs.  This is necessary since programs like our annual travel program spread certain costs across the entire program, and not on a team-by-team basis.  The intent is to make trainers as whole as possible, in a ratable manner based on what they would have received if the Spring 2020 season proceeded in the ordinary course.  This is why #4 above is so important - there is no expectation or intention of making any trainer "more than whole" as part of this process.  Should the PWSC Cares program generate more refunds that would have been paid to the trainers for the cancelled programs, excess funds will be applied to our scholarship fund.


Intramural Soccer - Spring 2020

Our Spring 2020 Intramural soccer program was priced at $180 for Tiny Kickers and Little Kickers and $270 for all older groups.  We also offered an early-bird discount for registrations prior to March 15, which many parents took advantage of.

Parents in the intramural program will be entitled to a full refund of their paid club fees* for the Spring 2020 season, and any declined refunds will go to the PWSC Cares program fund for our trainers.

Intertown Soccer - Spring 2020

Senior Boys - Thunderstorm; Junior Boys - Stars; Junior Girls - Shooting Stars

Our Spring 2020 Intertown soccer program was priced at $185 for all players.

Parents in the Intertown program will be entitled to a full refund of their paid club fees* for the Spring 2020 season, and any declined refunds will go into the PWSC Cares program fund for our trainers.

* Refunds of any SportsEngine processing fees are subject to SportsEngine's policies, and are not under the control of the club.


Travel Soccer - Annual Program (U9-U13)

For players in our annual travel program, which covers age groups U9-U13 for the 2020-21 soccer year, there were either 2 or 3 categories of fees:

1. Club Registration Fee of $370, payable in either a single installment or in 2 installments (this was paid once upon initial travel program registration starting last June/July and again on December 1, 2019).  The club will refund $150 of this total fee*, which refund would be prorated for any discounted (scholarship) registrations, and any declined refunds will go into the PWSC Cares Act fund for our trainers

2. Annual Travel Training Fee of $880, which covered team training fees for both the Fall 2019 and Spring 2020 seasons, as well as certain additional costs in connection with the travel program.  These fees were invoiced to our families, starting in September 2019.  For those who elected to pay via installments, the fourth and final installment of $220 has not yet been collected.  The club will refund $400 (or, in the case of remaining payments, cancel such installments) of this total fee*, which refund would be prorated for any discounted (scholarship) registrations, and any declined refunds will go into the PWSC Cares program fund for our trainers.

3.  Seasonal and/or annual team expenses (covering winter, tourneys, etc.).  Since these budgets apply only to specific teams, and are not shared across a program or age group, each team manager will determine the appropriate refunds of fees already paid*, and will also work with parents to participate in the PWSC Cares program, although any declined proceeds for these team-specific budgets will be allocated directly to the specific team's trainer.

* Refunds of any SportsEngine processing fees are subject to SportsEngine's policies, and are not under the control of the club.



Travel Soccer - Select Program (U7-U8)

For players in our select travel program, which covers age groups U7-U8 for the 2020-21 soccer year, there were two fees:

1. Club Registration Fee of $370, payable in either a single installment or in 2 installments (this was paid once upon initial travel program registration starting last June/July and again on December 1, 2019).  The club will refund $150 of this total fee*, which refund would be prorated for any discounted (scholarship) registrations, and any declined refunds will go into the PWSC Cares program fund for our trainers.

2. Annual Travel Training Fee of $505, which covered team training fees for both the Fall 2019 and Spring 2020 seasons.  These fees were invoiced to our families, starting in December 2019, and parents had the option to pay in either one or two installments, both of which were due and paid already.  The club will refund $250 of this total fee*, which refund would be prorated for any discounted (scholarship) registrations, and any declined refunds will go into the PWSC Cares program fund for our trainers.

Travel Soccer - Legacy Program (U14+)

For players in our traditional (non-annual) travel program, which covers age groups U14 and up, there were two fees:

1. Club Registration Fee of $370, payable in either a single installment or in 2 installments (this was paid once upon initial travel program registration starting last June/July and again on December 1, 2019).  The club will refund $150 of this total fee*, which refund would be prorated for any discounted (scholarship) registrations, and any declined refunds from these teams will go to the specific team's trainers.

2. Either seasonal or annual training fees and team expenses.  Since these budgets apply only to specific teams, and are not shared across a program or age group, each team manager will determine the appropriate refunds of fees already paid*, and will also work with parents to participate in the PWSC Cares program, although any declined proceeds for these teams will be allocated directly to the specific team's trainer.

* Refunds of any SportsEngine processing fees are subject to SportsEngine's policies, and are not under the control of the club.
